E-mails & Templates
Sidebar: E-mails
Module: E-mail marketing — Plus and Prime. The SMTP account configured here only sends these templates, so it follows the module too.
FlyB sends e-mail through your own SMTP server, under your own domain and your own sender reputation. FlyB does not act as an e-mail service provider on your behalf.
Sending e-mail requires a paid plan, which includes a monthly sending allowance (Plus 5,000, Prime 50,000) covering every message FlyB sends for you — campaigns, CRM automations, booking confirmations and one-off sends. Sends no longer cost Flights.
Going past the allowance never interrupts a send in progress: FlyB records the overage, e-mails the account owner, and this screen shows a banner from 80% of the month’s allowance onwards. See Plans → Monthly allowances.
Connecting your SMTP server
Settings → Apps & Connections → Email (SMTP), or the SMTP panel on the templates screen.
| Field | Notes |
|---|---|
| SMTP server | e.g. smtp.example.com |
| Port | Your provider’s port |
| User | Usually the full e-mail address |
| Password | Your provider’s SMTP credential |
| Security (SSL/TLS) | On or off |
The Gmail shortcut
If you use Gmail or Google Workspace, Set up with Gmail fills in the server, port and encryption for you. You supply the address and an App Password.
Gmail will not accept your account password for SMTP. You must turn on 2-Step Verification, generate a 16-character App Password, and paste that. The dialog links to both Google pages and validates the format before saving.
Templates
A template is a saved e-mail. Automations, campaigns and one-off sends all use them.
Template details
| Field | Notes |
|---|---|
| Template name | Internal |
| Priority | High / Normal / Low |
| Sender name and e-mail | What the recipient sees |
| Reply-to | Where replies land |
| CC / BCC | Fixed copies on every send |
| Subject | Required, at least 6 characters |
| Preheader | The preview line next to the subject in the inbox |
| Body | Visual HTML editor |
| Plain text | Fallback for clients that cannot render HTML |
The editor
A visual editor with formatting, colours, links, images, lists, alignment and CTA buttons (label, URL, click tracking, colour, size, corner radius). You can drop to raw HTML at any time, clear the template to a blank body, or restore the default design.
Click tracking
Every CTA button has a Track clicks on this button switch, on by default. On a tracked button, the link in the e-mail points to FlyB first, which records the click and forwards the reader to your address instantly — the reader never sees a difference.
A recorded click:
- appears in the contact’s timeline, in the delivery report and on the campaign
- can be used in contact filters and CRM conditions (Clicked an e-mail button: pick the e-mail, then the button by its label, or any button)
- can put the contact into a funnel stage (the E-mail button clicked entry event), score points in Lead Score and trigger a message automation
- drives the click conditions of a campaign’s engagement automation
- also counts as an open, since nobody clicks an e-mail they did not read
Only web addresses (https://…) are tracked — a mailto: or tel: link goes out as it
is — and the unsubscribe link is never tracked. Clicks by e-mail security scanners
(which open every link of a message the moment it arrives) are filtered out and not
counted.
Each button keeps a stable identity inside the template, which is what lets filters and rules refer to “the pricing button of this e-mail” even after you edit its text. A summary under the editor lists the template’s buttons and which of them are tracked. Templates created before click tracking existed get their buttons identified the first time they are opened in the editor — open and save them once (country versions included) to start tracking.
Variables
Insert variables anywhere in the subject, preheader or body and they are replaced at send time. The picker covers:
- Contact — every field, first and last name separately, custom fields, country
dial code, the phone as a
wa.melink, the full address on one line, lead score, timestamps - Lead owner — the name, e-mail and phone of the member responsible for the lead
- Your company — name, logo, address, website, e-mail, phone, brand colour
- Funnels — the stage, when the contact entered it, days and minutes in stage, movement history
- Deals, subscriptions and payments — amounts also come ready with their currency
(
R$ 199,00), and dates written out - This appointment — the appointment the message is about (see below)
- Next appointment, last appointment booked and the full booking list
- Today — the date and time of the send, on the contact’s clock when it is known
- E-mail — the unsubscribe link
Index [0] in a list always means the most recent item — except the booking list,
which is ordered by the appointment’s own date, so [0] is the one furthest ahead.
That is why the two appointments a message is usually about have groups of their own.
The picker lists its groups down the side; pick one to see its variables. The search
looks across every group at once — accents and capitals are ignored, every word has to
match, and a group’s name counts, so next date finds the next appointment’s dates. The
arrow keys and Enter insert without the mouse. The variables you inserted last, in
this browser, wait under Recently used, and Custom fields builds
{{contact.custom_fields.your_key}} from the key you type.
Appointment variables
A booking carries its date and time already written out on the calendar’s clock
({{contact.next_booking.date_time}}), the day of the week, where it happens
(the address, or the meeting link when it is remote), and a reschedule or cancel
link — the same address the booking confirmation e-mail sends people to.
Use Next appointment for a reminder and Last appointment booked for a confirmation or a follow-up. Both come out blank when there is no such appointment.
This appointment ({{booking.date_time}}, {{booking.calendar_name}},
{{booking.location}}, {{booking.notes}}, {{booking.manage_url}}…) is the
appointment the message is about, which is not always either of those. A calendar’s
WhatsApp confirmation and reminders fill it
with the exact booking being confirmed or reminded — somebody with an appointment tomorrow
and another in three weeks gets the three-week reminder about the right one — and so do
message automations triggered by a booking or a
cancellation. Anything else that sends the same message (a CRM automation, the Inbox, an
e-mail) gets the contact’s next appointment, or else the one booked most recently.
Its date and time are written on the guest’s own clock when it is known, like the
confirmation e-mail, and {{booking.timezone_label}} names that clock (BRT, EDT).
Dates in a WhatsApp template are written in the template’s language, so an English template says “September 25” and a Portuguese one “25 de setembro”.
Country versions
A template can carry a default version plus one version per country. A contact from a country with its own version receives it; everyone else receives the default. The country is resolved from the contact’s phone dial code, falling back to the analytics of their originating visit.
Lists always show the parent template. Deleting the template deletes its versions; deleting a version simply sends those contacts back to the default.
A version starts as a copy of the default, buttons included, so a click on the translated copy of a button counts as a click on the default template’s button.
A template that a campaign — or one of its automation rules — sent cannot be deleted while that campaign exists: deleting it would erase the record of what went out. Delete the campaign first.
Generating a template with AI
Generate with AI rewrites the subject, the preheader and the whole body from a description of what the e-mail should say. It costs Flights, and the result replaces the current content — nothing is saved until you click Save Template.
Previewing and testing
Preview renders the template with a real contact’s data, desktop or mobile. Send Test picks a contact to fill the variables and a separate address to deliver to — the test is never sent to the contact whose data is used.
Sending
| Way to send | Where |
|---|---|
| One contact | The contact modal → Send Template Email, or + Actions in the WhatsApp Inbox panel |
| Everyone in a filter or a CRM stage | Bulk dispatch — runs in your browser, keep the tab open |
| A scheduled bulk dispatch | E-mail Campaigns — runs on FlyB’s servers |
| Automatically | A CRM stage automation |
The immediate bulk dispatch paces itself at 500 ms between sends to stay inside SMTP rate limits, and warns you before you send to a contact who already received the same template.
Unsubscribes
Every e-mail carries an unsubscribe link. A contact who unsubscribes chooses a reason and is permanently excluded from your sends. This cannot be reversed from the dashboard — which is deliberate, and required by anti-spam law.
You can also disable sending to a contact by hand, with a recorded reason.
The delivery report
Sidebar: E-mails → Sent Emails
Every e-mail your organization sends is recorded here, with:
| Card | Meaning |
|---|---|
| Emails | Total in the period, with the number of contacts and templates involved |
| Sent | Accepted by your SMTP server |
| Opened | Open rate over the sent ones |
| Clicked | E-mails with at least one tracked click, as a rate over the sent ones |
| Bounces | Permanent, temporary, undetermined, or marked as spam |
| Failures | Rejected at send time |
The table lists each send with its contact, template, subject, status and open time, and can be filtered by template, by campaign, by status (including Clicked) and by date. A status of pending means the provider has not reported back yet. A follow-up sent by a campaign’s engagement automation is marked Follow-up · Rule N.
The template list shows, on each template’s card, its sends, open rate and — once it has tracked buttons — its click rate.
Only the most recent rows are listed for performance; the cards above always cover the whole period, so narrow the dates to see the rest.
Deliverability is yours
FlyB hands the message to the server you configured. Whether it reaches the inbox depends on your domain’s authentication (SPF, DKIM, DMARC), your sending reputation and the recipient’s filters — none of which FlyB controls. See Terms of Use → Third-party services and deliverability.
